Privacy Policy
At a glance
LlamaCRM has no account, no ads, no tracking and no analytics. Your data lives on your device and, if you turn it on, in your own iCloud. We as the provider have no access to it. Only when you use AI Capture is text sent to an AI service.

1. The app
Data on your device
People, history, tags, reminders and settings are stored in the app’s database on your device. They are not sent to us and are removed when you delete the app.
iCloud sync (optional, Pro)
If you turn on “Store in iCloud”, your data is stored in the private iCloud database of your Apple Account and synced across your devices. Only you have access. The provider is Apple and Apple’s privacy policy applies. The legal basis is the performance of the user agreement (Art. 6(1)(b) GDPR). You can turn sync off at any time and delete the data in iPhone Settings › Apple Account › iCloud › Manage Storage.
iPhone contacts
With your permission, the app reads the contacts you import, and only their name, company, first phone number, first email address, photo and birthday. Your contacts are never changed and are not sent to us. You can revoke access in iPhone Settings.
Notifications
Reminders are scheduled directly on your device. Nothing is sent to a server.
Dictation
Dictation uses Apple’s speech recognition. If your device supports it, it runs entirely on the device; otherwise Apple processes the recording under its privacy policy. The app does not store recordings.
AI Capture
Only when you tap “Send” in AI Capture, after agreeing in the app, is your text sent for analysis. So the AI can match the right people, it also receives the names, companies and tags of your people as well as their recent and starred entries.
- Recipients: OpenRouter, Inc. (USA) as an intermediary and a provider running a DeepSeek language model. The app only allows providers that do not store requests or use them for training.
- Purpose: recognizing people, type of contact, date and content so you can review and save the entries.
- Legal basis: your consent (Art. 6(1)(a) GDPR). For transfers to third countries such as the USA we rely on your explicit consent (Art. 49(1)(a) GDPR); the level of data protection there may be lower than in the EU.
- Withdrawal: at any time in the app under Settings › LlamaCRM Pro. Nothing is sent afterwards.
If you don’t use AI Capture, nothing is sent.
Purchases
The Pro subscription is handled entirely by Apple’s App Store. We receive no payment details; the app only learns whether Pro is active. The number of AI captures you use is only counted on your device.
Backup files
You store exported backups yourself, e.g. in the Files app. They contain all people and entries in readable form and are not sent to us.
2. The website
This website is hosted by Amazon Web Services (AWS Amplify). When you visit it, the host processes technically necessary data such as IP address, date and time, page requested and browser type in server logs to deliver the site securely. The legal basis is our legitimate interest in secure operation (Art. 6(1)(f) GDPR). AWS is certified under the EU-US Data Privacy Framework.
The website sets no cookies and uses no analytics or tracking services. Your language choice is only stored locally in your browser.
3. Contact by email
If you write to us, we only use your details to answer your request and delete them when they are no longer needed.
4. Your rights
You have the right to access, rectification, erasure, restriction of processing, data portability and objection, and to withdraw consent at any time with effect for the future. You can also lodge a complaint with a data protection authority. Since we don’t store app data ourselves, you can exercise most of these rights directly in the app or in your device settings.
5. Children
LlamaCRM is not directed at children under 16.
6. Changes
We update this policy when the app or legal requirements change. The version published here applies.
